Away Electives

All current UTHealth Residents and Fellows interested in participating in an away elective rotation must complete this application and submit the following documents to their program coordinator for additional processing.

REQUIRED ATTACHMENTS: Turn in to the GME Office at least 30 days prior to rotation.

The following conditions and guidelines are required for approval. More details are included on the application form:

  1. Letter/email of invitation from the host institution
  2. Copy of signed Program Letter of Agreement
  3. Should the training site require higher levels of PLI, contact GME for an additional form to request higher levels from UT System.

ADDITIONAL ATTACHMENTS FOR INTERNATIONAL AWAY ROTATIONS ONLY

  1. A letter of good standing from the resident/fellow(s) current program director
  2. AMBS Member Board Approval

NOTE: All resident/fellow(s) rotating outside the country must turn in their documents 60 days prior to the start of the rotation. Additional approval is required by the UT System Office in Austin for International PLI.

GME Processing 

The Program coordinator should send all supporting documents to the GME Office – April Bass.

  1. Application MUST be submitted at least 30 days prior to the rotation – after an executed PLA is received.
    • Best practice: Send the host institution the UTHealth Program Letter of Agreement (PLA) form (this alleviates the requirement for UTHealth Legal review and approval)
  2. A New Rotation is generated by GME
  3. Additional PLI via UT System requests are generated by GME
  4. The department must supply a chart string current in New Innovations to be billed for the extra coverage
    • An invoice goes to the program coordinator
  5. Please gather all documents required prior to submitting to the GME Office. 

REMINDER: Residents are responsible for all travel costs including housing and parking.
