Room Setups
To schedule GDI Services’ setup services, contact Dolores Lee ([email protected]) and Yesenia Navarro ([email protected]) at least one week prior to the event. It is the customer’s responsibility to ensure the location is reserved for the setup/teardown and that it is taking place as scheduled.
Setups not listed on the Conference Operations Room Setup pages will need to be requested in writing to [email protected] before contacting GDI Services for approval.
MSB G.000 – MSB Lobby Normal Setup
Large setups are no longer offered in the MSB Lobby (recommend use of MSB 5.001).

MSB Lobby G.000 Small Setup
Large setups are no longer offered in the MSB Lobby (recommend use of MSB 5.001), any exceptions need prior approval from [email protected] and setup fees will apply (two weeks notification required). Administrative permission will also be required before moving any MSB Lobby furniture. Conference Operations does not provide tablecloths. Customers will need to provide their own. Small setups of up to three (3) rectangular tables, six (6) chairs and/or three (3) posterboards are needed, please send a request to [email protected] and complete the MMS – Admin Job Requests Form to schedule setup assistance at least five business days prior to the occurrence. No fees associated with small setup requests.
MSB 5.001 – Normal Setup
Normal Setup: Accommodates 90 attendees. 15 – 6ft round tables with six (6) chairs each and four (4) – 6ft rectangular tables.
GDI Services’ FY25 Table Setup Rate: $55.44/hour (2 attendants @ $27.72 /hour each).

If the customer does not follow the the setup policies and procedures, the department may be charged up to $500 in setup/teardown fees when Conference Operations’ staff are used to complete the setup/teardown.
