How do I book a scan?

The first bookings can only be made on 8:00 AM or one hour or more after.

The next scan booking should be immediately after the previous scan. There should be no gap.

If there is a gap from a scheduled scan, there must be at least a one hour gap from the previous scan, so that other users may use the time.

What is the earliest and latest appointment time?

What is the smallest permissible booking duration?

The smallest permissible booking is 30 minutes.

Can I reschedule or cancel my appointment?

Yes, Scans can be canceled free of penalty with a 3-day notice. This will give a window for other investigators to schedule participants in the canceled slot. For example, a Friday scan can be canceled on Monday of the same week without penalty. The penalty will apply if canceled on Tuesday or after.  All cancellations within the 3-day window will be charged at half the cost for the scheduled session. A missing session occurring on the day of the scheduled scan due to any reasons (staff or participant sick, participant ‘no show’, etc.) on the part of the participant or the research team is treated as a canceled scan and half the cost will be applied.

Is there a penalty for switching scheduled times between investigators?

If one needs to cancel within the 3-day window, there is no penalty for switching between protocols, investigators, or subjects for the slot. The investigating team can make the switch or ask whether other investigators would like to use the slot or make a switch. It is advisable to announce a cancellation in case others would like to use the slot.

Will a fee apply if the investigators stop the scan halfway through?

The half fee will still be applied if the subject or PI team has decided to interrupt the scan before or soon after the scan begins unless research quality data has been collected (e.g., the participant has completed more than half of the scheduled scan and data is usable, then the scan will be charged at full rate). It is the responsibility of the PI team to ensure that participants are screened and trained, and all accessory equipment functions properly and the participant is well-prepared and can enter the scanner and stays for the duration as the protocol requires

Are there any exemptions for charges at the MRI facility?

Exemption of charges include 1) scanner- or facility-related problems. 2) increment weather. 3) newly developed claustrophobia or physical distress/discomfort during scanning. 4) findings of gross brain abnormality or discovery or finding that excludes the subject from the study. No charge will be applied for incomplete data collection, stopping scanning or cancellation due to these circumstances.
