SRB (IMM) Event Procedures

Event Tech Support & Procedures

The MMS – SRB (IMM) room calendar grid and the event request form are available online via the UTHealth Resource Scheduler, Astra Cloud. The user quick start guide will assist with viewing the room calendars for availability and submitting the SRB (IMM) Event Request Form. Please call our main office line at 713-500-5048 for assistance with the application. If the event will involve non-UTHealth participants, vendor(s), a fee to attend, a fundraiser of any nature, or will take place after normal business hours, the UTHealth Solicitation & Cooley Center Event Request Form will need to be submitted for approval.

Conference Rooms & Lecture Hall

  • SRB (IMM) 108 (10+ attendees – no AV equipment – whiteboard only)
  • SRB (IMM) 110 (60 attendees – Full AV and IV equipment)
  • SRB (IMM) 104 Auditorium (200 attendees – Full AV and IV equipment)

Atrium and Pond

  • SRB (IMM) 107 Atrium (250 attendees – Audio Reinforced, Crestron Touchscreen Control)
  • SRB (IMM) 1PL01 Pond Area (100 attendees)
  • Both of these areas may be used without reservation only if no reservations are in place.  Check Calendar on Astra Cloud before using.  To locate Calendar Grid, click on:

Margolis Lounge

  • SRB (IMM) 337 Margolis Lounge (50 attendees – Teleconference)
  • All SRB 337 (Margolis Lounge) reservations are subject to cancellation for any executive or donor events.  Groups with prior reservations will be notified immediately from IMM General Administration.  Contact Bonnie Martinez at [email protected].
  • Request submitted for room SRB(IMM) 337 – Margolis Lounge, will be reviewed and approved/denied by the Office of the SRB’s Director, Management Operations.

Please do not move tables/chairs.  These are set up for normal use and for special events.

Special Use Areas

Conference Operations also provides equipment and personnel to support these commonly used “institutional” areas for Special Events:

  • 5th Floor Gallery (MSB 5.001)
  • EECC G.100 (Available w/ Special Permissions from MS Dean’s Office)
  • MSB Leather Lounge
  • SRB (IMM) 107 Atrium (250 attendees – Audio Reinforced, Crestron Touchscreen Control)
  • SRB (IMM) 1PL01 Pond Area (100 attendees – No AV/IV equipment)
  • Webber Plaza (Approved Solicitation Form required.)
  • SRB (IMM) 337 Margolis Lounge (Available w/Special Permissions from SRB’s Director, Management Operations (50 attendees – Teleconference)

If a reservation needs to be changed, cancelled or rescheduled, please send all of the details outlining the new request to [email protected].  One of our schedulers will assist you within two business days.  For changes, cancellations or reschedules needing immediate attention, in addition to sending details to [email protected], contact a scheduler directly at 713-500-5048.

Tech Support

To Request Audio-Visual and/or Interactive Video Technical Support for events taking place at SRB (IMM) building, please follow these procedures:

  • Include Technical Support request in your Event Request form via Astra Schedule
  • Send details of Technical Support request to [email protected]

Hours of Operation: Monday – Friday, 8:00 a.m. – 5:00 p.m. (closed on UT Holidays).  Events that take place outside of normal business hours may acquire fees.  AV support is not guaranteed without written confirmation.

If a scheduler responds to an event request asking for additional information, the requester of the event has 2 business days to respond or the request is subject to cancellation.

MMS Announcements including SRB (IMM):

  • Fees are now assigned to the use of MSB Poster Boards for use outside of MSB/MSE/JJL buildings. Please see details here.
  • Departments may be charged up to $250 per instance for sponsored events not following room use and policy guidelines as shown on Policy & Procedures page.
