Policy on Student Access to Academic Records

Medical students’ educational records, known as the ‘Blue Book,’ an internal protected digital platform maintained by the Office of Admissions and Student Affairs (OASA), will only be available to authorized individuals.

Students may view their individual educational records or ‘Blue Book’ electronically and in real-time by logging into the records platform with their standard UTHealth Houston username and password.

Faculty members and members of administration involved in educational activities are permitted to review a student’s ‘Blue Book’ to perform tasks to fulfill their professional responsibilities, including for the purposes of preparing a letter of reference/recommendation or for review for consideration for membership or induction into national honor societies. Faculty requesting such review must provide the reason for the request for consideration of approval by the Vice Dean for the Office of Admission and Student Affairs, or designee, and will then be given temporary access to the records platform. A log of approved access is maintained.

Access to medical students’ records may also be granted to University officials with a legitimate educational interest in the records, as well as other parties, as required by laws and regulations in accordance with HOOP 129 (Educational Records).
